BL Amendment Process
Wrong consignee name, misspelled port, incorrect weight — BL errors happen weekly. Every amendment costs money and time. Here's how to fix them fast and stop them from happening.
When Is a BL Amendment Needed?
Not every change requires a formal amendment. Know the difference between what you can fix and what needs carrier intervention.
Consignee or Notify Party Error
CriticalWrong company name, misspelled name, or wrong address. This is the most common amendment and the most critical — wrong consignee means cargo can't be released.
Cargo Description Mismatch
HighWrong commodity description, incorrect HS code, or missing special handling marks. Triggers customs holds at destination if it doesn't match the commercial invoice.
Weight or Measurement Error
MediumWrong gross weight, net weight, or CBM figures. Small discrepancies (under 5%) may be tolerated, but larger errors trigger VGM violations or customs inspection.
Container or Seal Number Error
CriticalTypo in container number or seal number. Must match physical container exactly — any mismatch blocks cargo release at the terminal.
Port of Loading / Discharge Error
CriticalWrong port code or port name. Rare but devastating — cargo could be sent to the wrong destination. Changing discharge port after vessel departure may not be possible.
Marks and Numbers Error
Shipping marks on BL don't match the actual cargo markings. Usually a copy/paste error from the SI. Less urgent than consignee errors but still needs correction.
The Amendment Process — Step by Step
Timing determines cost. Amendments before BL release are cheap. After release, they get expensive fast.
Identify the error
Review the draft BL carefully against your shipping instructions, commercial invoice, packing list, and letter of credit terms (if applicable). Check every field — consignee, notify party, description, weights, marks, container numbers, port names.
Request amendment before BL finalization
If the draft BL hasn't been finalized yet, email the carrier's documentation team with the exact corrections needed. Reference the booking number and BL number. Most carriers handle pre-release corrections for free or a nominal fee ($25–50).
If BL already released — submit formal amendment request
After the BL is issued, amendments require a formal request. Provide: original BL number, fields to be changed, correct information, and reason for amendment. The carrier will charge an amendment fee ($50–200 per change, per BL).
Surrender original BL (if applicable)
For original BLs, you may need to return the physical originals to the carrier before they'll process the amendment. For telex-released or sea waybill shipments, this step is skipped.
Carrier processes and reissues
The carrier updates the BL in their system and issues a corrected version. Processing time: 1–3 days for minor amendments, up to 5 days for complex changes. Some carriers charge extra for urgent/same-day processing.
Verify corrected BL
Review the amended BL immediately. Check that the correction was applied correctly AND that no new errors were introduced. It happens more often than you'd think — the carrier fixes one field and breaks another.
Amendment Costs by Timing
The earlier you catch the error, the less it costs. After vessel departure, costs multiply.

How to Prevent BL Errors
The best amendment is one you never need. Build these checks into your workflow.
Double-check SI before submission
80% of BL errors originate in the shipping instructions. Have a second person review SI before sending to the carrier. Use a checklist: consignee spelling, notify party, commodity description, HS code, weights, marks.
Cross-reference against the commercial invoice
The BL cargo description must match the commercial invoice exactly. If the invoice says 'Automotive Parts HS 8708.99' the BL must say the same. Any mismatch = customs problem.
Match BL against letter of credit terms
For LC shipments, compare every BL field against the LC requirements BEFORE the carrier finalizes it. Banks reject documents for a single mismatched word.
Review draft BL within 24 hours
When the carrier sends the draft BL, review it immediately — not the day before the amendment deadline. Finding errors early means free corrections instead of $200 amendment fees.
Create SI templates for repeat clients
For clients you ship with regularly, create SI templates with pre-filled consignee details, commodity descriptions, and marks. Copy/paste errors from one shipment to the next are a leading cause of amendments.
Confirm container numbers from the EIR
Don't rely on the booking confirmation for container numbers. Use the actual container numbers from the Equipment Interchange Receipt (EIR) issued when the container was picked up. Booking confirmations sometimes show placeholder numbers.
